Passport and Name Matching for University Applications

Check passport validity, legal-name spelling, dates and historical name differences before submitting an international university application.

Your passport is usually the primary identity record for an international university application. The university may use it to match academic documents, issue an offer, prepare enrolment records and support later immigration steps. That makes exact spelling and date checks important before submission.

This guide does not determine passport or visa eligibility. Requirements depend on citizenship, destination, travel date and personal circumstances. Use the responsible authority for immigration decisions and the university for admissions records.

Use the passport you intend to travel with

Check the passport number, issue date, expiry date and biographical page. If renewal is already planned, ask whether to apply with the current passport and update later or wait for the new document. Do not assume the university can silently transfer every record to a new number.

Enter the name in the order and spelling requested, using the passport’s machine-readable or Latin-script details where instructed. Avoid nicknames, shortened forms and inconsistent middle names. A familiar everyday spelling can still create a mismatch if the official record uses another transliteration.

Compare dates and place information

Check date of birth carefully, especially when forms use different day-month-year order. Review nationality and place-of-birth fields when requested. A transposed date can be repeated across an offer, invoice and enrolment record if it is not corrected early.

Historical documents may use another spelling

Transliteration systems change, and older certificates may omit or rearrange parts of a name. Do not modify the certificate. Ask what connecting evidence is required, such as an official name-change record, marriage document or explanatory letter from the issuing authority.

Keep passport and application versions linked

Save the exact passport copy submitted with the date and application destination. If a new passport is issued, record both numbers privately and follow the formal update route. Do not upload the new copy repeatedly under unrelated document categories.

A passport scan must be complete and readable

Show the entire requested page, including edges and the machine-readable zone. Avoid glare, fingers, shadows and compression that hides small characters. Do not add annotations over the image. Follow the institution’s file-type rule; UG, for example, currently asks for a passport in JPG format on its own application page.

Protect passport data

A passport copy contains sensitive identity information. Upload it only through the verified application route or send it to a confirmed official recipient when instructed. Do not place the passport number in a public link or ordinary filename, and never share a portal password so another person can retrieve it.

Payment references may use identity details

Some institutions ask students to include a name, passport number or applicant code in a bank-payment reference. Follow the exact verified invoice or official instruction. Do not post the receipt publicly, and confirm that the payment has been matched to the application rather than relying only on a bank debit.

What to do after renewal

Notify the responsible admissions channel once, state the old and new document context without unnecessary extra data, and ask which records need updating. Later visa, travel or residence processes may have separate requirements. A university update is not proof that every government system has also changed.

If you notice a mismatch after submission

Take a screenshot or note of the incorrect field, but do not create another application. Send one concise correction request and attach only the evidence asked for. Keep the reply with the tracked application messages so the change remains visible without exposing unrelated information.

Prepare for common transliteration differences

Names written originally in another script may appear differently across passports, school records and translations. Treat every spelling as evidence to reconcile, not a version to choose casually. Ask whether the university needs an issuer’s letter, certified translation, name-change document or another official bridge. Use the passport spelling consistently in new application fields while preserving the original spelling exactly on historical records.

Check who is authorised to request a copy

An admissions office, verified platform or responsible government process may need passport evidence. A person contacting you through social media or an unrelated messaging account should not receive it merely because they know the university name. Compare the request with the portal and official contact information. If another person is helping, confirm their authorised role and share the document through the approved route rather than handing over your account.

Identity check before submission

  • Passport is valid and is the intended travel document.
  • Name and birth date match every application field.
  • Older spelling differences have a truthful explanation.
  • The scan is complete, readable and sent securely.
  • Renewal or replacement updates are recorded.
